Workflows in HubSpot

The integration with HubSpot is two-way. You have workflows that can update contacts within a list on Dropthought and make changes to the existing contacts on HubSpot.

This article will help you understand:

  1. What are the various available workflows?

  2. When do you use each of the workflows?

  3. How do you enable each of the workflows?

  4. How do you disable each of the workflows?


Workflows

Note

  1. Workflows that push updates from Dropthought to HubSpot are based on satisfying a trigger condition. Learn more about setting up triggers for a program.

  2. A workflow that pushes contact details to Dropthought works for list creation on Dropthought.

Following are the four available workflows:

  1. Record a response in HubSpot: Upon satisfying a trigger condition (Trigger by Program), the system checks if the respective respondent’s contact exists on HubSpot or not. This allows you to automate adding responses to HubSpot received from Dropthought.

    1. If it exists, the response will be recorded on Hubspot as a Note against the respective contact.

    2. If not, the respondent will be added as a contact, and the response will be recorded as a Note.

  2. Lead status in HubSpot changed to ‘Connected,’ create/update contact in Dropthought list: You can use this workflow to create a contact in the Dropthought list upon a Lead status is changed to “Connected.”

  3. Delete contact(s) in HubSpot: Upon satisfying a trigger condition (Trigger by Program), the respective respondent’s contact will be deleted from HubSpot.

  4. Create/Update contact(s) in HubSpot: Upon satisfying a trigger condition (Trigger by Program), the system checks if the respondent’s contact exists on HubSpot.

    1. If it exists, then it will automatically update the same based on the property values that existed during the feedback submission.

    2. If not, it will create a new contact on HubSpot.

Note: Only First name, last name, email, and phone number will be added/updated in the contact details.

Enable Workflow

Follow the below steps to enable any of the HubSpot workflows:

  1. Navigate to the HubSpot Integration page.

  2. Click on the Use Workflow button against the required workflow.

  3. You will prompted that the workflow is active.

Disable a Workflow

Note: The active workflows will be disabled upon disabling the integration.

Follow the below steps to disable a workflow:

  1. Navigate to the HubSpot’s integration page.

  2. Click on Stop using the workflow provided against the required workflow.

  3. You will be prompted to confirm. Click on Yes, I’m sure to complete the process.
